Phone Systems
An IP-PBX implementation is no small task. There are multiple phases that must be considered in order for the implementation to go smoothly. Successful completion of each phase ensures the proper operation and reliability of the system.
The following is an outline of the phases we follow when implementing an IP telephony system:
- Research Phase – During this phase, we analyze the current telecommunications infrastructure. Parameters like handset count, monthly call volume and phone bill costs, network infrastructure load and architecture, and call flows (inbound and outbound) are discovered and documented for use in the implementation
- Design Phase – In this phase, the information obtained in the research phase is analyzed and we develop a complete IP telephony solution. All factors are considered to ensure that the transition to the new system will be smooth and complete. We will work with vendors and the client to select the proper hardware (PBX and phones) and software for this recommended solution
- Hardware/software purchase and installation – From the design, the hardware order is placed, received, installed and configured. During this phase, the system will undergo its “burn in” to ensure the hardware is reliable and the system will be prepared for the next phase. Additionally, all initial programming will be done (setting up the network changes, extensions, trunks, and administrative users) to prepare for the rollout. If necessary, the new system will be integrated with the system being replaced to ensure business continuity and a smooth transition to the new system.
- Test Rollout Phase – In this phase, a small “test” rollout will be performed. This test rollout is usually to a small group, like a single floor of a building, or a single small office. during this phase, the test rollout group will use the new features of the system and identify possible issues for the larger rollout. These issues are documented and the full rollout plan is adjusted accordingly.
- Full Rollout Phase – This is the phase during which the entire organization will begin using the new system. All phones are placed at their designated locations, configured with proper extensions and features and each phone will be tested for proper operation.
- Post-rollout Phase – Once the full rollout has been completed, the users can be trained on any advanced features and IT support team trained on all technical aspects required in order to support end users. Programming changes can also be made if necessary.
- Support Phase – At this point, the system is considered fully installed. All staff are trained on its proper use and technical support. During this phase, we will provide support in conjunction with the system vendor on an as-needed basis.
Using this process, we are able to ensure any large scale IP telephony implementation will be done properly with the best overall user experience.
